Coverage requests help managers deal with the shifting schedules of workers. Once a schedule is published workers can ask others to cover a shift which has been assigned to them. Peers of that worker can review and agree to cover that shift and the manager can review and approve the change before the schedule is adjusted.
The basics:
- If a worker is not able to cover a shift they can ask others to cover for them.
- Available workers at that location will get a notification asking them to cover that request and they will also be able to see the available shifts
- Managers assigned to the location of the shift will be able to review and approve the request.
This experience is available to all clients using Scheduling and workers will be able to do this action from a browser (desktop and mobile) or the Everee app
REQUESTING COVERAGE
Once a schedule has been published for a location, the workers receive a notification that their schedule is available. If any worker is not able to cover a shift they can ask others to cover for them. They can do this by viewing the shift details screen
The worker can add a note (maybe about why they need help) and they can offer this shift to everyone assigned to that location (assigned to that same location) and they can submit the request. This can be viewed by the manager(s) and the workers. Note any workers already scheduled during this time will not be notified or selectable and manager’s get to approve any swapping of shifts
The worker also has the option of targeting specific workers to cover their shift.
The worker next receives a success message indicating that they are still responsible for their shift but others are being asked. This request can be cancelled.
Managers have the right to decline this request at any point even before another worker agrees to work the shift - more on that later.
ACCEPTING COVERAGE
Once a coverage request has been made, other workers will receive notifications and indications in the
The user will see one to many requests to cover a shift
The user can see the details on the shift
If they accept the shift they will see this message indicating that the manager has to approve. At this stage the requesting worker will NOT see anything different because it requires the manager to review and approve.
APPROVING COVERAGE
Each day the manager gets notified on a daily cron when there are coverage requests for them to approved. Note: they won't get notified if there are open coverage requests (but they can see them in the app.)
When a worker requests coverage a manager is notified and they can follow along in their app.
They can also view all of the shifts which need to be covered while the other workers consider covering the shift.
Once workers have agreed to cover the shift, the manager will be able to view which workers are willing to work. It also provides information about the cost associated with each shift.
Once approved, the schedule will update accordingly
